1. The Service

RingFront provides an AI-powered phone reception platform that answers inbound calls, schedules appointments, captures lead information, sends SMS follow-ups, and integrates with third-party CRM, calendar, and workflow tools (the "Service"). The specific features available to you depend on the subscription plan you select.

2. Account Registration

To use RingFront, you must create an account by providing accurate, current, and complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. Notify us immediately at support@ringfrontai.com if you suspect unauthorized access to your account.

3. Subscription Plans and Billing

RingFront offers monthly and annual subscription plans. By providing a payment method, you authorize RingFront to charge the applicable subscription fee at the start of each billing cycle. Annual plans are billed upfront for the full year and are non-refundable except as described in Section 4. Prices are subject to change with 30 days' notice to existing subscribers.

AI minutes included in each plan are consumed on a per-minute basis rounded up to the nearest minute. Minutes do not roll over between billing periods. Overages beyond your plan's included minutes are billed at the per-minute rate specified in your plan details.

4. Cancellation and Refunds

You may cancel your subscription at any time through your dashboard. Cancellation takes effect at the end of the current billing period. Monthly subscriptions are non-refundable for the current period. Annual subscriptions cancelled within the first 14 days of a new annual term are eligible for a prorated refund. After 14 days, annual subscriptions are non-refundable.

RingFront reserves the right to suspend or terminate accounts that violate these provisions without refund.

6. Call Recording and Consent

Call recording laws vary by jurisdiction. Many US states require all-party consent before recording a phone call. You are solely responsible for ensuring that your use of RingFront's call recording feature complies with all applicable recording consent laws in your jurisdiction and the jurisdiction of your callers. RingFront is not liable for your failure to obtain required consents.

7. Data Ownership

You retain full ownership of all call data, transcripts, and customer information generated through your use of the Service. RingFront claims no ownership over your customer data. You grant RingFront a limited license to process this data solely for the purpose of providing the Service as described in our Privacy Policy.

8. Uptime and Service Levels

RingFront targets 99.9% monthly uptime for Business and Enterprise plans. Scheduled maintenance windows are communicated at least 48 hours in advance. In the event of unscheduled downtime exceeding 0.1% in a calendar month, affected customers may request a service credit equal to one day of subscription fees for each hour of excess downtime, up to a maximum of 10 days per month.

9. Intellectual Property

All intellectual property in the RingFront platform — including software, AI models, interfaces, and documentation — is owned by RingFront LLC and protected by applicable intellectual property laws. These Terms do not grant you any rights in RingFront's IP beyond the limited right to use the Service as described herein.

10. Disclaimers and Limitation of Liability

THE SERVICE IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. RINGFRONT DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT THE AI WILL HANDLE EVERY CALL PERFECTLY.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, RINGFRONT'S TOTAL LIABILITY TO YOU FOR ANY CLAIMS ARISING FROM THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE FEES PAID BY YOU IN THE THREE MONTHS PRECEDING THE CLAIM.

11. Governing Law and Disputes

These Terms are governed by the laws of the District of Columbia, United States, without regard to conflict of law principles. Any disputes shall be resolved by binding arbitration administered by the American Arbitration Association, except that either party may seek injunctive relief in a court of competent jurisdiction.

12. Changes to These Terms

RingFront may modify these Terms at any time. Material changes will be communicated via email at least 14 days before taking effect. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.
